Responsibilities: <p>Freedom24, part of a fast-growing international financial group listed on NASDAQ, is expanding across Europe and is currently looking for a proactive and detail-oriented Office Manager to support our operations in Lithuania, Vilnius.<br><br>Join us and become part of a professional, dynamic team shaping the future of investment services in Europe.</p><p><br></p><p>1. Administrative Support and Workflow Organization:</p><ul><li>Managing the company’s incoming and outgoing correspondence with accuracy and discretion;</li><li>Supporting seamless document flow between departments, ensuring timely execution of internal processes;</li><li>Driving administrative procedures to enhance operational efficiency;</li><li>Maintaining a well-organized, efficient, and inspiring office environment; </li><li>Managing procurement of office supplies and overseeing inventory to support an uninterrupted workflow;</li><li>Conducting regular physical inventory audits and maintaining records. </li></ul><p>2. Communication and Collaboration:</p><ul><li>Overseeing internal and external communication to uphold the company’s professional image;</li><li>Building effective relationships with vendors and service providers to ensure high-quality and cost-efficient services;</li><li>Collaborating with accounting, payroll providers, and auditors to support compliance and financial accuracy;</li><li>Actively supporting the HR department on a wide range of operational and people-related matters.</li></ul><p>3. Executive Support and Guest Relations:</p><ul><li>Proactively organizing calendars, scheduling appointments, and ensuring optimal time management for executives;</li><li>Coordinating meetings and conferences, handling all logistics to deliver smooth and professional events;</li><li>Serving as the first point of contact — answering and directing calls, welcoming clients and guests with warmth and professionalism;</li><li>Hosting visitors of all seniority levels, ensuring a polished and welcoming experience.</li></ul><p>4. Financial and Operational Processes:</p><ul><li>Processing vendor invoices through SAP Concur in alignment with company policy and timelines;</li><li>Reviewing and managing employee expense reports, ensuring full compliance with internal procedures.</li></ul><p>5. Additional Responsibilities:</p><ul><li>Planning and coordinating business travel arrangements, including flights, accommodation, and itineraries;</li><li>Taking part in cross-functional projects and company-wide initiatives, contributing to continuous improvement. </li></ul>
Requirements: <ul><li>Bachelor’s degree (Business Administration, Management, or a related field preferred);</li><li>3 plus years of experience in a similar administrative or operational role;</li><li>Fluency in English and Lithuanian<strong>, </strong>both written and verbal;</li><li>Advanced computer skills, including MS Office Suite and other relevant business tools;</li><li>Experience in organizing and maintaining electronic document management systems;</li><li>Excellent interpersonal and communication skills, with the ability to interact across all levels of the organization;</li><li>Strong organizational and time-management skills, with the ability to handle multiple priorities;</li><li>High attention to detail and accuracy in a fast-paced environment;</li><li>Ability to independently identify and resolve issues;</li><li>A proactive, solution-oriented mindset and positive attitude;</li><li>Flexible and adaptable, capable of working under pressure;</li><li>A reliable team player with a genuine willingness to learn and grow.</li></ul>
